PAHB Procedures

EMERGENCIES

Please inform Caroline Mulcahy of all emergencies that occur in the PAHB

SIGNS

  • If you would like to hang publicity materials in a shared display location, please contact PAHBOOM@umbc.edu to be added to the calendar.
  • Please remove signs for all events/productions the following business day after an event has ended. Any signs left up will be discarded.
  • Please use tack boards whenever possible for signage. No staples please.
  • On Glass: Only use blue painter’s tape or 3m removable strips. Signs can be placed on both sides of the glass to hide tape.
  • On Wood: Only use blue painter’s tape or 3m removable strips. Signs cannot be hung on wood walls for extended periods of time (no more than 3 weeks) due to the damage the adhesive can cause to the finish.
  • Please do not use scotch tape on any surfaces in the PAHB. Only blue painter’s tape or 3M removable strips are acceptable
  • Any signs that are mounted improperly will be removed and disposed of.

 

KEYS

  • New/Replacement “BEST” Keys: Department Representatives are required to submit requests for new/replacement door keys at pahb.umbc.edu/access-request/.  Please allow a minimum of 3 business days for keys to be made.  Your department will be charged $2.92 for each key that is ordered unless PAHBOOM has the specified key in stock from the original inventory.
    • Some lost keys may require a change of core in order to maintain the security of the spaces they access. Your department will be charged $35.66 for each core change.
  • New/Replacement cabinet or other “small” keys: Department Representative can submit requests for new/replacement door keys at pahb.umbc.edu/access-request/.
  • Emergencies: Call Work Control at x52550 for immediate assistance with stuck locks or broken keys. As follow up, please email details to PAHBOOM@umbc.edu. Your department may accrue a charge for after hour requests.

 

SWIPE

  • Turn On/Off Swipe Access: Department Representative can submit student employee, staff, faculty, and other singular requests at pahb.umbc.edu/access-request/. Requests will be processed by end of business day on the following Monday.
    • Classesrequiring swipe access for students effective the first day of classes must be submitted, by spreadsheet, a minimum of 5 business days prior to the beginning of classes.
      • Spreadsheets including student names, ID numbers (ex: AB12345), room numbers and/or access levels, and activation and deactivation dates can be uploaded to pahb.umbc.edu/access-request/ using the “batch attachment” option.
    • Classes requiring swipe access for students effective later in the term must be submitted, by spreadsheet, by the end of the second full week of classes.
      • Spreadsheets including student names, ID numbers, room numbers and/or access levels and activation and deactivation dates can be uploaded to pahb.umbc.edu/access-request/ using the “batch attachment” option.
  • Unlock Schedule: If you would like a room with swipe access to be unlocked for a period of time, please submit requests through pahb.umbc.edu/access-request/. Select “Room Unlock Request” and choose “Full-time Staff/Fac” and check the “Same as requester” box. Enter room number under “Other.”
  • Emergencies:Each Department hasstaff members and chairs with key access to all departmental   Contact them to access spaces if swipe stops working.  If it is after hours or on a weekend and the system has failed, please call campus police.  Send PAHBOOM@umbc.edu an email if the system is not working properly.

 

DOORS

  • Issues: All non-emergency issues with doors should be emailed to PAHBOOM@umbc.edu.
  • Emergencies: Please call Work Control at x52550 for immediate assistance. As follow up, please email details to PAHBOOM@umbc.edu.  Your department may accrue a charge for after hour requests.

 

ELEVATORS

Please call Work Control at x52550 to immediately report any issues with the elevators. Notify Caroline Mulcahy by email.

 

HVAC

  • Please submit AIM ticket or call Work Control at x52550 with any issues with Heating or Air Conditioning. Email PAHBOOM@umbc.edu with any ongoing HVAC issues. Your department may accrue a charge for after hour requests.

 

HOUSEKEEPING/ABM

The current schedule is as follows:

Days: (Mo-Fr) 7am-3:30pm; (Sat/Sun) 8am-4pm

Evenings: (Mo-Fr) 3pm-11pm (they cover multiple buildings)

Nights: (Su-Th) 11p-7am

  • Cleaning Breakdown
    • Night Crew: Office, Classrooms, common areas, etc
    • Day Crew: Entrances, front doors, elevators, and rest rooms
  • General cleaning schedule & concerns: Send email to PAHBOOM@umbc.edu.
  • Emergencies: Call Work Control during business hours or locate ABM staff in building.   For weekend emergencies, call Jimmy Reyes at 443-300-0789. Send email to PAHBOOM@umbc.edu if additional follow-up is required.

 

DEPARTMENTAL SPACES

  • A/V issues: Submit RT ticket to A/V services or contact your department’s A/V representative.
  • All use of spaces that will be attended by the public must be scheduled through 25Live and approved by the PAHB Office of the Operations Manager. Please refer to PAHB Request Procedures document for PAHB request policy explanation.

 

OFFICES

  • Per campus policy, all office faculty/staff name signs must be black type on clear film and be ordered by submitting an AIM work order and provided by the UMBC Sign Shop. Any labels that do not adhere to this policy may be removed.
  • Each department may be responsible for any damage they cause to the walls in departmental as well as public areas.
  • Any modifications to public areas must be approved by PAHBOOM and Facilities.

 

LIGHTING

  • Lighting issues or maintenance requests for classrooms or offices can be submitted by AIM request or called in to Work Control at x52550.
  • Please email PAHBOOM@umbc.edu with any problems with hallway, performance space, or PAHB exterior lighting.

 

25LIVE CALENDAR

  • All PAHB activities must be accurately represented in 25Live calendar system including classes, rehearsals, and performances.
  • Please refer to PAHB Request Procedures document for PAHB request policy explanation.

 

LOADING DOCK

  • The dock is not staffed. All deliveries must be received by you or another departmental representative.
  • The loading dock doors are key access. Please email PAHBOOM@umbc.edu with details for any large deliveries requiring the blast doors to be opened..
  • Only items scheduled for disposal through AIM request or through Work Control at x52550 may be left in the loading dock area. Please label all items with Department name and date of disposal.
  • Any small items to be disposed of or recycled can be left in the trash/recycling room next to rm. 116.

 

CATERED MEETINGS OR EVENTS

  • Any meetings or departmental events that are scheduled without management from PAHBOOM are responsible for the appropriate disposal of all food trash into trash receptacles. If additional bins are needed please request them through AIM.  After your event is over, please arrange for the removal of the additional bins.

 

PEST CONTROL

  • All pest control issues should be submitted by AIM request or called into Work Control at x52550. As of Fall 2015 the pest control requests will be addressed on Tuesday and Thursday mornings unless Work Control deems it an emergency.
